Receptionist
Location: Nashville
Salary $41,000.00 – $47,00.00 per year
LASMTC is looking to add a receptionist to our Nashville office. The receptionist will greet visitors, screen initial requests for help, and direct inquiries to staff attorneys or outside resources as specified under Legal Aid guidelines. This role will also provide general administrative support to staff and enter data into our computer database for opening of new cases daily, perform a wide range of office duties to include data entry, data processing, pamphlet organization and maintenance, secretarial typing, record keeping, case reporting, and case file maintenance. This position will support the Office Manager creating a two-person coverage of the reception area. This position is funded in part by, and in collaboration with, one or more grants. Personnel must adhere to goals and outcomes detailed in the grant contract. This position is funded for the duration of the grant and subsequent renewal may result in modification of job duties and responsibilities.
Responsibilities:
- Conduct initial intake interview to screen applicants for legal issues, conflicts of interest, and eligibility.
- Routinely answer phone calls and use case management software simultaneously to assist with applicant intake.
- Review voicemail logs and waiting lists to ensure timely communication with applicants.
- Scan documents, deliver walk-In forms, and ensure correct office or group get all necessary information from walk-in applicants.
- Troubleshoot facility and office operations issues.
- Organize and stock community education materials. Provide backup for other support staff, as needed.
- Process US mail, including pick up, delivery of incoming mail, and handling of outgoing mail.
- Provide general clerical support, such as legal typing, copying, filing, etc.
- Monitor status of office and unit availability to ensure proper assignment of applications.
- Make referrals to private attorneys or other agencies as appropriate.
- Other general office organization efforts as needed.
Qualifications:
- Minimum High School diploma or GED. Associates degree or Paralegal certificate preferred.
- 2 years prior experience working in a law office, court, social service agency, or other relevant setting.
- Experience working with low income people.
- Basic proficiency in Windows and Microsoft Outlook, Word and Excel software.
- Effective oral and written communication skills, including in client interviews and helping people in crisis.
- Proficiency in use of office equipment (copiers, scanners, facsimile, postage machine, etc.).
- Smart and coachable with a high degree of initiative and emotional intelligence.
- Fluency in written and spoken Spanish is a plus.
