Legal Aid Society has an immediate opening for a full-time (40 hours per week) Administrative Assistant in its Nashville office. This position will support the work of the Volunteer Lawyers Program across the 48 county service area. The Administrative Assistant identifies lawyers willing to represent clients, contacts attorneys to make referrals, manages written communication with lawyers and clients, monitors the status of cases referred to volunteer lawyers and Contract Attorney Program (CAP) lawyers by sending quarterly e-mails and following up to obtain responses for every open case. The Administrative Assistant maintains the database with current case information and attorney information. The position includes communicating with attorneys both to refer clients to attorneys and to follow up on the status of representation. It requires adapting database systems to monitor status of cases and developing reports. The Administrative Assistant works with the Director of Development and Deputy Director for Community Engagement and Communications to manage social media presence for the Volunteer Lawyers Program.
Required Qualifications: Must be a self-starter with an ability to multi-task and complete projects timely with minimal supervision. Must be sensitive to the needs of low-income people and be able to relate to the needs of people of diverse backgrounds and adhere to confidentiality standards. Must be detail oriented and have good organizational skills. Must be able to follow directions and work with a team and independently. Ability to effectively communicate in oral and written form. Excellent interpersonal skills. Strong typing and computer skills and experience with Microsoft Office software are a must (Word, Excel, Outlook, PowerPoint, etc). Experience with Legal Files database a plus. Ability to learn new computer skills. Minimum two years professional office experience and paralegal or associate’s degree, or comparable experience preferred. Proficiency in Spanish is a plus. Some travel required.
